Make a proctoring request
Once you have all your exam details (exam duration, exam window, etc.), you will add the Proctored Exams Portal to your ICON site and then add your exam details to the portal. Step-by-step user guides are available to guide you through adding your exam details to the portal.
- If you have a student or students with exam accommodations, click here to view step-by-step directions.
- If you have a student or students taking a make-up exam without accommodations, click here to view step-by-step directions.
As you add your exam details to the portal, please keep in mind that Midterms and Final Exam week are the busiest weeks of the year at the test centers. We recommend allowing a longer exam window so that your student is able to schedule an appointment.
Complete information about the portal can be found in the PEP User Guide. The portal does not work on mobile devices and operates best when using the Chrome browser. If you run into technical problems, please reach out to DOE Exam Services with questions.
Clone a proctoring request
Cloning a proctored exam request means making an almost exact copy of an exam request. If you already have an exam request in the Proctored Exams Portal, you can reduce your work for the next proctored exam request by cloning a previous request and then, editing only the details that differ.
To clone an exam request:
- Open the Proctored Exams Portal.
- Locate the proctored exam request that you wish to copy.
- Click the blue Manage button.
- Select Clone.
- Edit the proctored request that has been cloned and save.
For more details, visit the PEP User Guide.
Exam delivery
Exam delivery, or the location your student will test at, is based on your course's or section's online delivery mode in MAUI. Whether your exam is completed online or on paper, all exams with basic exam support will be completed at an:
- Iowa City test center only
To read more about this exam delivery option and the options available to courses with full exam support, visit our the following page in the PEP User Guide: Exam Delivery Methods.
Available test centers
Students taking exams in a course with basic exam support will either test at the North Campus test center or at the Student Disability Services (SDS) test center. Both test centers are closed on designated University of Iowa holidays and have slightly different operating hours.
Location assignments are based on whether the student has exam accommodations and the type of accommodation. The location will be automatically assigned to the student after all exam details are submitted to the Proctored Exams Portal.
Click here to view Campus Test Center rules and expectations for students.
Online exams
If exams will be completed online in ICON, please note the following:
- Availability in Quizzes. Check that the exam is assigned to the scheduled student(s) in ICON Quizzes and open for your student(s) at the appropriate time(s). If the appointment time changes, please be sure to update the availability in the Quizzes page in ICON. Visit this page for a step-by-step guide.
- Extended time accommodations. If your student has extended time accommodations, extended time accommodations display automatically in the portal after you submit exam details. The extended time will not transfer to the Quizzes page in ICON. Follow these step-by-step direction to add the additional time in the Quizzes page in ICON.
- Password protected. If your exam is password protected, please make sure to include that in the Proctor Instructions field in the portal NOT in Student instructions. Contact DOE Exam Services if you have any questions or concerns.
- Respondus Lockdown Browser. North Campus test center uses Respondus Lockdown Browser by default for any online exam in ICON. If you do not wish for your student to use Lockdown Browser, please note that in the portal.
If your exam is online but will not be completed in ICON, please contact DOE Exam Services. We will need to verify we have the software and information necessary to administer your exam at an on-campus test center before the student schedules an appointment.
Paper exams
If exams will be completed on paper, please note the following:
- Upload exam files. Upload the exam file to the portal no later than 24 hours before the exam window begins. We cannot guarantee that files uploaded the day of the exam appointment will be ready for the student. Visit this page for step-by-step directions for uploading an exam file to the portal.
- Scanned exams in the portal. By default, completed paper exams are scanned at the test center and digitally uploaded to the Proctored Exams Portal. To retrieve a scanned copy of a completed paper exam,
- Click on the blue Manage button and select Scheduled Students.
- Click on the "View" link in the Uploaded File column and a PDF of the completed exam will open in a new window.
- Instructor pickup of exams. If you plan to stop by the test center and pick up the paper copy of the completed exam, please indicate that in your proctored exam request.
Please note that for security reasons, completed paper exams cannot be sent via campus mail.
